For Schools

School management software and a parent app, in your school's own name

Fee collection, attendance, homework and report cards in your school's own name — with learning, student protection and free events you can add.

Included — not sold separately, not a trial

The app your parents ask for every year, that you've never had budget to build

Most Indian schools run fees on paper, attendance on a register, and homework on a WhatsApp group nobody can search. Building a proper parent app from scratch costs lakhs and takes a dedicated team most schools don't have. Partnering with VidyaKavach gives you one — branded as your school, running from day one.

The keystone module

Fee Collection

Structured fee heads, term-wise instalments, UPI/card/netbanking payment and instant digital receipts. The VidyaKavach welfare fee rides in the SAME invoice as tuition — one payment, not a separate ask.

Attendance

A teacher marks the whole class in under a minute; parents see the day mark the same evening, with a plain flag if attendance drops below the exam-eligibility threshold. The reason a parent opens the app daily, not just once a term.

Notices & Homework

Circulars, exam dates, holidays and daily homework — posted once, seen by every parent in the class instantly. Replaces the WhatsApp group your office currently has no control over.

Marks & Report Cards

Term-exam marks entry with CBSE grade bands computed automatically, alongside the NEP 2020 Holistic Progress Card — the conventional marksheet a parent expects, and the compliance document your affiliation requires.

Branded as Your School

Your school's name, logo and colour — not "VidyaKavach" on your parents' phones. Set once from the admin dashboard and it applies everywhere, instantly.

The back office too

Payroll, staff leave, recruitment and appraisals, library, hostel, transport routes, inventory and timetable generation are all in the same office system. Live GPS bus tracking is not included yet.

And here's what protects your school

When a parent dies, the school absorbs it. Twice.

A family loses a parent mid-year. The fees stop. The school then chooses between carrying the loss quietly for years, or asking the child to leave — which costs nothing on paper and a great deal in the community that watched it happen. Most schools carry it, and the write-off never appears as a line item anywhere, because nobody wants to name it.

Fee protection settles up to ₹10 lakh into the child's own account, earmarked for their remaining school fees. The fees keep arriving on schedule, the child stays in your classroom — and not one insurance form ever crosses your desk. This cover is part of the package every student gets.

What the partnership is worth to your school

Set your own roll, fee and history. We have not pre-filled any national average, because there isn't a credible one for this — and you already know your real numbers better than any benchmark would.

Your school's numbers

Nothing is assumed on your behalf — every figure below is yours to set.

800
₹60,000
3

Count the cases you actually carried or wrote off — most schools know this number precisely because each one was a difficult decision.

7

A Class 3 child has ten more years of fees. That's the real exposure — not one year.

Children protected from day one

800

Every enrolled child carries ₹10 Lakh fee protection and ₹3 Lakh medical cover — school-wide from the first day of the partnership, with a health camp on your campus in the first cycle.

Fee income protected instead of written off

₹12,60,000

3 students × ₹4,20,000 of remaining fees, funded into each child's own account — fees that keep arriving on schedule instead of being written off.

What this does not cover: fee protection is triggered by the death of a parent. It is not a general bad-debt guarantee — ordinary non-payment, relocation and voluntary withdrawal are not covered, and no insurance product covers them. If a proposal ever tells you otherwise, read the policy wording.

Six things that land on your side of the desk

The insurance is the part parents talk about. These are the parts that decide whether a partnership is still working in year two.

Your annual health records, filed for you

Your affiliation already requires annual student health records. Camp day produces them automatically — a complete health register, a health card for every child, and a management summary, exportable as PDF and Excel. A compliance obligation your office was going to spend weeks on becomes a download.

The leak detector on your desk

A dropout early-warning list ranked by the fee value at stake, per-student fee ageing, and RTE reimbursement claim tracking — the three places an Indian school quietly loses money, watched continuously on the principal’s dashboard instead of discovered at year-end.

Your teachers get a class mastery view

Every game a child plays reports which syllabus topic it exercised. Teachers see a class-level heatmap — 'VI-B is weak on fractions and light' — before the unit test rather than after it, and can assign a specific game as homework. This is the part teachers keep using in week twelve.

Something to say in admission season

A verified school profile page, a VidyaKavach Protected School badge, brochure inserts and parent-facing creatives for your admission campaign. Every enrolled child insured and on a learning platform is a claim the school down the road cannot make.

Inter-school olympiad league

The monthly olympiad rolls up into city and state school rankings. Your students compete, your school appears on a public leaderboard, and parents notice. This activates as the partner network grows — it is the one benefit here that needs neighbours to be worth anything, and we say so plainly.

Nothing for your office to run

Onboarding is one CSV of your roster. We staff and run the camp on your campus. We handle every claim directly with the family. Your front office does not become a helpdesk for someone else’s product — the fastest way for a partnership like this to fail is to create work, so it does not.

Camp day: the day the parents see it working

One day a year we bring a medical team onto your campus and screen every enrolled child. It is the most visible thing in this partnership — parents watch it happen, and it produces the health records your affiliation asks for as a by-product. Below is exactly what your office receives afterwards.

How the partnership is structured

01

One package for every student

Medical cover, parent accident & fee protection, health services, the AI tutor and learning games for every enrolled student — usually included in the composite fee as a Student Welfare & Digital Learning head. The school app, videos, olympiads and partner-run events are free to add.

02

The family holds the cover

The insurance sits between our insurance partner and each enrolled family, with payouts to the child’s own account. Your school is never a party to it — no selling, no claims processing, no insurance compliance of any kind.

03

We run it, you host it

Roster onboarding by CSV, the health camp staffed and run by our team on your campus, and every claim handled directly with the family — the partnership adds no work and no compliance burden to your office.

The Founding School Programme

We are onboarding a small first cohort — not because scarcity sells, but because the first schools shape the product and we intend to answer the phone when they call. You will get direct access to the team building this, preferential terms held for the life of the partnership, and your camp scheduled in the first cycle.

What we ask in return is candour: tell us what does not work, and let us cite your results once they are real. We would rather build a case study you stand behind than quote a school count we cannot back.

What principals ask first

What does this cost the school, exactly?

Every student gets one package — medical cover, parent accident & fee protection, health services, the Ask Kavach AI tutor and learning games. The price depends on the number of students and the cover level, so there is no fixed price list. The school app, learning videos, monthly olympiads and events are free for your school to add. Tell us what you need on the Ask for Pricing page, call +91-7979030298 or email info@vidyakavach.com, and we will send a written quote.

Is this a full school management system? Do we have to give up our existing software?

It is a full school management system: admissions and enquiries, student records, fees, attendance, timetable generation, homework, exams and report cards, certificates, transport routes, library, hostel, inventory, payroll, staff leave, recruitment and appraisals, with the parent app on top. Live GPS bus tracking is not included yet. You do not have to switch everything at once: many schools start with fees, attendance and the parent app, and move the rest across when the office is ready.

Which fee head does this sit under, and what will our fee committee say?

It is normally treated the same way schools already treat smart-class, activity and lab fees — a Student Welfare & Digital Learning fee within the composite annual fee, because what the school is buying is a learning platform. We provide a documentation pack describing the platform licence and the group policy for your fee filings. Fee regulation differs by state, so please confirm treatment with your own committee or auditor — we would rather you raise it in week one than in an inspection.

Does the school become an insurance seller? Do we need a licence?

No — the school never touches the insurance at all. You license an EdTech platform; the welfare cover is provided by our insurance partner directly to each enrolled family, and payouts settle into the child’s own account. There is nothing for your school to sell, register for, process or administer — no IRDAI question, no claims paperwork, no compliance obligation, and no payment of any kind flowing to the school from an insurer. Your legal advisor is welcome to verify exactly that in the MOU.

What if parents object to a mandatory addition to fees?

Parents object to opaque charges, not to value they can see. This one is unusually visible: a health camp on campus their child attends, an app they open at home, a monthly olympiad, and cover that keeps their child’s education funded if the worst happens. We supply the parent communication — a letter, an FAQ and a briefing for your PTM — and we explain the package openly in that letter, so nothing about it looks hidden. Parents who want more can upgrade themselves in-app to higher cover.

What exactly is covered, and what is not?

The school tier is Shield Starter: ₹10 Lakh fee protection settled into the child’s account toward remaining school fees on the death of a parent, plus ₹3 Lakh medical cover for the child, 24/7 doctor tele-assistance, one annual full body checkup and the full learning platform. The checkup does not include dental or eye screening on any plan. Fee protection is not a general bad-debt guarantee.

How does the on-campus camp actually work?

We schedule one day (two for larger rolls) with your office, bring our own medical team and equipment, and run stations through the school day with minimal disruption to timetable. Your staff are not required to run anything. Records are generated the same week, and parents receive their child’s card in the app.

Who handles claims, and how do we know they are honoured?

We do, directly with the family — your office is not the intermediary. The school admin dashboard shows the status of any claim involving your students, so you are never the last to know. We would rather you judge us on our first claims than on our marketing, which is one reason the founding cohort is small.

When a parent pays fees in the app, who actually holds the money?

Your bank. Fee payments settle directly to your school's own account through a licensed UPI payment aggregator — the same category of provider (Razorpay, Cashfree, PayU) that large school platforms and e-commerce sites use. VidyaKavach never holds parent funds, even momentarily, and never becomes a party in the money movement. That is a deliberate design choice, not an oversight — anything else would need us to hold a payment-aggregator licence we do not have and do not want.

What happens if we do not renew?

Cover runs to the end of the policy year already paid for. You can export your students’ health records and academic history at any time, including after leaving — they are your records and your parents’, not ours to hold hostage.
